Operations Assistant

Reports To: HR and Operations Manager

Position Summary: IKAR seeks a highly organized individual for the position of Operations Assistant. The Operations Assistant monitors and manages the administrative needs of the organization. Depending on the needs of the organization, job may include a range of activities including general office needs, IT and systems, staffing for programs, maintenance for programs, upkeep of the building, building access control and other functions related to facilities.


Office Management:
-Receive and when necessary, transfer all incoming calls to appropriate departments;
-Receive, open, organize and distribute mail/packages to appropriate departments;
-Maintain inventory of office, kitchen, and cleaning supplies including special requests from staff;
-Provide general administrative support as needed.

Facilities Management:
-Track requests related to facilities issues including access control, parking, phones, printers, temperature, and other functions as necessary;
-Coordinate general upkeep of the building, and interface with cleaning service;•Assist with on-boarding and off-boarding staff with IT and access needs;
-Assist staff with IT issues that can be handled in-house;
-Assist with security needs at the office, our Early Childhood Center, and at our offsite location where we hold services.;
-Manage IKAR’s 1729 Event Space rentals, including but not limited to: managing and scheduling external events, meet with potential renters to show space, coordinating cleaning and upkeep of the space, maintaining inventory of supplies, attending external events and/or confirming other staff presence at each event, arranging for IT/AV equipment, etc.

Competencies and Qualifications:
-Passion for IKAR’s mission and work.
-Superior organizational skills and attention to detail;
-Excellent written and oral communication skills;
-Excellent customer services skills;
-ConversationalSpanish preferred;
-Comfortable working in a fast-paced environment, including multi-tasking and meeting required deadlines;
-Experience using Office software, specifically Microsoft Outlook, Word, and Excel. Proficiency with Raiser’s Edge NXT a plus;
-Ability to work some Saturdays and evenings;
-Sense of humor;
-IKAR requires all employees to be current on CDC-approved Covid vaccinations unless a reasonable accommodation is requested and approved.

Duration: Full-time (non-exempt; includes some Friday nights, Saturday mornings, occasional holidays and evening hours)

Salary & Benefits: Pay range is between $45,000-$55,000 with a generous benefits package including full health, vision, and dental coverage.
